Position Summary:

We are seeking a highly organized and detail-oriented Virtual Assistant to join our remote team. In this role, you will provide administrative and operational support to our billing and management team. You'll work closely with the Director of Operations and other team members to ensure that day-to-day activities are managed efficiently and professionally. The ideal candidate will have experience in administrative support, excellent communication skills, and a proactive attitude.

Key Responsibilities:

  • Assist with scheduling meetings, appointments, and maintaining calendars for senior team members.
  • Manage emails, phone calls, and other communications on behalf of the Director of Operations.
  • Prepare and organize digital documents, including invoices, reports, and correspondence.
  • Provide support with medical billing and coding-related data entry and documentation as needed.
  • Coordinate with healthcare providers, insurance representatives, and internal departments regarding routine inquiries and updates.
  • Maintain digital filing systems and ensure that all records are accurate and up to date.
  • Conduct research and compile data for operational improvements or client projects.
  • Assist with onboarding documents, forms, and training materials for new clients or team members.
  • Ensure confidentiality and security of sensitive medical and business information.
  • Participate in virtual team meetings and provide status updates on assigned tasks.

Requirements & Qualifications:

  • Proven experience as a virtual assistant, administrative assistant, or similar role (medical or healthcare experience is a plus).
  • Strong knowledge of Microsoft Office Suite, Google Workspace, and cloud-based productivity tools.
  • Familiarity with medical billing software or healthcare admin tools (a plus but not required).
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Strong attention to detail and organizational skills.
  • Self-motivated, reliable, and capable of working independently with minimal supervision.
  • Fast, secure internet connection and a quiet, professional remote work setup.
  • High school diploma or equivalent required; further education or certifications preferred.
