Job Description

Full-Time | Hourly Position

At Thrive at Montvale, we believe that creating a great place to live starts with creating a great place to work. We’re looking for a detail-oriented and dependable Executive Office Assistant to join our team and support the day-to-day financial and administrative operations of our vibrant senior living community.

This is a Monday through Friday position with a consistent schedule and a focus on behind-the-scenes coordination that helps keep our community running smoothly. This role works closely with the Community President to ensure accuracy, efficiency, and financial clarity across all business office functions.

Key Responsibilities:

  • Manage resident records and billing information.
  • Enter and track ancillary charges and monthly billing.
  • Monitor accounts receivable (AR) and support collections.
  • Process rent increases and ensure proper resident communication.
  • Process payments and receipts accurately and timely.
  • Handle move-ins, move-outs, and internal transfers.
  • Submit and track long-term care (LTC) insurance billing.
  • Coordinate with third-party Medicaid billing vendors and insurance companies.
  • Reconcile community credit card and team expense reports.
  • Collaborate with our third-party accounts payable (AP) provider to ensure timely invoice processing and payment.
  • Assist with month-end financial close-out and reporting.
  • All other tasks as assigned assisting with daily operations. 

What We’re Looking For:

  • Prior experience in senior living, healthcare billing, or business office support is a plus.
  • Familiarity with Yardi or other billing/accounting software is a strong advantage.
  • Strong attention to detail and organizational skills.
  • Comfort with spreadsheets, billing platforms, and navigating multiple systems.
  • Professional communication skills for liaising with residents, families, and external partners.
  • A helpful, team-first attitude and willingness to learn.
